This privacy policy informs you about how 360 Softball Europe (hereinafter referred to as “we” or “Organizer”) processes your personal data in the context of player registration and tournament management. We take the protection of your data seriously and comply with the applicable data protection regulations, particularly the General Data Protection Regulation (GDPR) and the Austrian Data Protection Act (DSG 2018).

2. What Data Do We Process?
When registering and using our system, we collect the following personal data:
a) Required Registration Information:
- First and last name
- Email address
- Date of birth (for league classification purposes)
- Club affiliation
- Tournament participation history (previous games, leagues)
- Player statistics (game results, performance data)
b) Optional Information (with separate consent):
- Profile picture (uploading a player photo)
- Other optional profile details
3. Purpose of Data Processing & Legal Basis
We process your data for the following purposes:

4. Data Retention & Deletion
a) Data Retention Principle
We store personal data only for as long as necessary to fulfill the purposes of processing.
- Profile data (name, email, photo, club affiliation): can be deleted upon player request.
- Game history & player statistics (tournament results, league affiliation, performance data): stored for historical records.
- If there are legal retention obligations (e.g., membership payment data): data will be stored according to applicable law.
📌 Note on Game History & Player Statistics:
- If a player requests deletion, all personal information will be removed.
- However, this means that their player statistics (game results, rankings, performance data) will no longer be available or displayed.
- To prevent manipulation (e.g., re-registering under a different name to play in a lower league), an anonymized version of game history may remain.
5. Name Visibility & Player Privacy Settings
- If a player does not want their name to be publicly displayed, their Team Manager or Coach (who has access to the team’s online system) can activate a setting to hide the player’s name.
- In this case, the player will still appear in team statistics but without their name being visible.
- The player can request this change at any time by contacting their Team Manager or Coach.
6. Data Sharing with Third Parties
We do not share your personal data with third parties except for:
- To authorities or courts, if required by law (Art. 6(1)(c) GDPR).
- To the hosting provider in Germany (Data Processor under Art. 28 GDPR).
7. Data Security
We implement technical and organizational security measures to protect your data from unauthorized access, loss, or misuse:
- SSL encryption for secure data transmission.
- Password hashing (no storage of plain text passwords).
- Regular database backups.
8. Your Rights as a Data Subject
Under the GDPR, you have the following rights:
